Issuance and Mailing
Secure digital diplomas are issued via our partners at Parchment approximately two months after the date of graduation. Physical copies are then mailed out within 10-15 days to the diploma mailing address recorded in MaineStreet as part of the application process.
Due to the size of the mailers, diplomas are often treated as parcels instead of letters, and thus may be held at the main desk or office of U.S. Post Office locations, apartment complexes, or condos.
- If a diploma has not arrived within six (6) weeks of being mailed out, and it has been confirmed as not being on hold as a parcel, please contact OSR to request a replacement be created and mailed to the address of your choice or held for pickup.
- If a diploma arrives damaged, please contact Parchment customer support to notify them so a replacement copy can be arranged.
Diplomas that cannot be distributed with the initial mailing each term due to holds are held in a queue until such time those holds are cleared and then issued in digital and print formats via Parchment. Students who have cleared a hold on their diploma should notify Student Records at umrecord@maine.edu as soon as possible so those documents can be released.
Diplomas that are returned to sender as undeliverable will be held for a maximum of 27 months after the original conferral date. Documents that remain undeliverable beyond that limit will be noted as unclaimed and destroyed. Copies of any such documents must be ordered as a replacement diplomas.
For information regarding the issuance of diplomas to students indebted to the University (including replacement diplomas), please see UMS Administrative Practice Letter IX-K.
